Captain of Boats

1. Monitor and co‐ordinate activity of administrative committee members
a. including, but not limited to, convening and chairing administrative committee meetings.

2. Representative of the whole Boat Club

Boat House Manager

The Boathouse Manager is the primary coach for the Club, relieving students of a substantial part of the coaching and logistical burden and providing continuity between years. The goals are to improve the standards within the Club, leading to a reduced drop-out rate, increased membership, and both better results and morale, thus reducing wastage and increasing asset utilisation hence providing better value for money from the Amalgamated Clubs Fee and alumni funding. The Boathouse Manager is also the workshop manager and boathouse administrator, with responsibility for the day-to-day running and order of the Boathouse (including Health and Safety, equipment repair, good practice by the students in their use of the equipment, and liaison with the College Maintenance Department.) Additional roles include transport of boats to regattas, and alumni relations.

Secretary

Treasurer

1. Liaise closely with Senior Treasurer in order to secure the short‐term viability of the club and its long-term financial future.

2. Prepare budget from October to October; breakdown of predicted expenses for Current and Capital accounts (in conjunction with Boatman)

3. Prepare JCR budget request

4. Keep books for current and capital accounts

5. Pay in funds (from JCR/college/sponsor etc.)

6. Write current account cheques (coaches’ invoices, boatman expenses, miscellaneous expenses)

7. Submit termly membership list for college bills (Copy to Boatman for records)

8. Prepare final accounts for year-end (in conjunction with Senior Treasurer)

9. Collect income from hire of equipment (ergs, gym, boats, rack space)

10. Prepare and pre-circulate report on club’s financial position for Steering Committee meetings. Attend SC.

11. Monitor budgeting of Boatman and Captains and regularly report to them on spending.

12. Renew and monitor Insurance cover

13. Monitor depreciation on club assets


Lower Boats Captain

1. Ensure information is circulated to freshers before arrival in Cambridge

2. Attend CUCBC LBC course

3. Plan and co-ordinate freshers’ fair stall

4. Assist Social Secretary and Captains with freshers’ BBQ, with special focus on advertising.

5. Recruit novices before and during freshers’ week; continue recruitment through Michaelmas term if necessary.

6. Organise correct paperwork for novices (swim declaration, sign-up sheets, health questionnaire) – pass relevant pieces to Water Safety Officer

7. Primary responsibility for day-to-day running of all novice boats:
a. Select crews (in consultation with boatman)
b. Organise training schedule
c. Coaching/organizing others to coach
d. Organise subs initially
e. Induct novices into Boat Club discipline & organisation
f. Motivate novices, foster crew spirit, organize formals (attend with them?)

8. Monitor Novice equipment usage and report faults to boatman

9. Encourage novice to continue rowing past their first term & help with transition to senior squad

10. Divide responsibilities between LBCs and VLBCs

11. Liaise with squad captains on novice matters to ensure uniformity across the club.

12. Assist Captains with day to day organization of lower boats (especially Lent and May terms)

13. Point of contact for all lower boats rowers

Sponsorship Secretary

Publicity Officer

1. Primary point of contact between our main sponsor and the committee.
a. Promoting awareness of the sponsor amongst the student club and alumni, especially for recruitment events.
b. Promoting the club and its activities to the sponsor, by providing the sponsor with a comprehensive account of the club's activities and efforts to promote the sponsor amongst the students.

2. Organising any promotional material to be sent to our sponsors before or after receipt of any sponsorship money, including an annual report with a results summary and a general summary of exposure.

3. Promote awareness of the Boat Club and its activities amongst the alumni
a. inc. termly/twice termly e-newsletter of the club's activities.

4. Assist the Boatman, Captains and Blades Representative with advertising and organising re-union outings, races and dinners.

5. Assist the Boatman, Captains and Blades Representative with alumni relations, including the production of reports for the Blades and College Magazines

Coxing Rep

1. Assist the Boatman, Captains and LBCs with recruitment of novice coxes.

2. Assist LBCs with initial cox training a. Organise senior coxes for first novice outings b. Introduce novice coxes to equipment and basic principles

3. Promote cox development and training within the club, acting as mentor for coxes throughout the club.

4. Ensure all coxes are informed of coxing meetings (e.g. Novice coxing seminar, pre--‐bumps meetings)

5. Distribute educational material (e.g. recordings, coxing guides, tideway head video)

6. Maintain a list of ‘qualified’ coxes and their contact details (to be made available to the Boatman, Captains and LBCs)

7. Monitor supply & demand in relation to graduation dates & numbers of crews in order to reduce cox shortages.

8. Assist Captains and LBCs in finding suitable coxes (inc. recruitment from other clubs) in event of serious pre-race/pre‐term or longer term cox shortage.


Social Secretary

1. Fairbairns, Lents & Mays Dinners:
a. Book formal hall / OCR / Fellows Garden as required (ideally in August for entire year)
b. Invite Master & wife
c. Liaise with Captains on inviting coaches/alumni
d. Organise menu / drink in conjunction with Catering Manager
e. Publicise, account for finances (incorporating coaches’ tickets into price per head)
f. Produce menus
g. Co‐ordinate after-dinner ents at the dinner
h. Assist in returning hall to a fit state post‐dinner

2. Cocktails:
a. One per year, usually Mich Term
b. Book venue with Tutor
c. Advertise, sell tickets in advance
d. Order & buy drinks

3. BBQs – freshers’ week & election
a. Organise food & drink
b. Liaise with other committee members (LBCs, Captains, Secretary) about publicizing the event

Webmaster

1. Issue log-ins for members section at year start and as required thereafter
